Booking & Cancellation Policy

Reservation Guarantee:

To ensure security and prevent fraud, guests are required to confirm their identity during check-in. This includes providing their booking reference, along with one of the following:

  • Passport
  • Identity card
  • Driving license

A valid credit card is required at the time of booking to guarantee your room.

Your credit card will not be charged unless you fail to arrive. If you wish to pre-pay or use an alternative payment method, please contact our reservations team before your arrival.

 

Age Requirement:

To make a reservation, you must be at least 18 years old.

Guests under 18 years old are not permitted to stay in our hotel unless accompanied by a parent or guardian staying in the same hotel.

 

Reservation Accuracy:

Please ensure that all reservation details are complete and accurate before confirming your booking.

We are not liable for any delays or non-performance if incorrect information is provided.

 

Taxes:

All applicable taxes are included in the price.

 

Check-In and Check-Out:

Check-in time is from 15:00 hours on the day of your arrival.

Check-out time is by 11:00 hours on the day of your departure.

 

Cancellation Policy:

You may cancel your reservation without financial penalty up to 12 noon local hotel time, 2 days prior to your scheduled arrival.

If you decide to shorten your stay, please inform our hotel reception by 12 noon UK time on the day you wish to check out to avoid a cancellation charge.

Failure to provide timely notice may result in a cancellation charge equivalent to one night’s total accommodation per room booked, as well as any charges for meals and extras reserved for the following day.

The first night’s cost for any booking made after 1pm UK time on the day of arrival, as well as the cost of any meals and extras for the following day, is non-refundable in the event of a cancellation, including “no shows.”

Our Right to Cancel

Reservation Cancellation by Us:

We reserve the right to cancel your reservation at any time with immediate effect, and we will provide written notice, which may include email, in the following circumstances:

  • You fail to make the required payment in a timely manner.
  • You breach the contract between us in any manner.
  • You have previously breached the contract between us.

 

Cancellation Charges:

If we cancel your reservation due to your fault, we reserve our legal rights concerning your breach of contract.

For reservations that have not yet commenced, any total payment made or to be made for such a room shall be deemed a cancellation charge and is not for any service. Change in Room Allocation and Cancellation: We reserve the right to change your room allocation and/or hotel location at any point during your stay for any reason.

We may cancel any booking(s) due to health and safety concerns or full or partial closure

We may cancel any booking(s) due to health and safety concerns or full or partial closure of the hotel.

If we have to cancel your booking(s), we will make every effort to notify you, and a full refund will be processed to the same debit/credit card. Please note that it may take a few days for the funds to reach your account.

 

Events outside our Control

Reservation Cancellation due to Unforeseen Events:

We may also cancel your reservation in the event of circumstances beyond our control, which may include but are not limited to industrial action, explosion, disease outbreak, health and safety issues,

fire, flooding, failure of power and/or water supplies, or emergency evacuation. In such cases, we will notify you as soon as possible.

If you have already paid for your room, we will refund your payment.

If you have not yet paid for your room, you will not be required to make any payment to us.

 

Event Outside of Our Control:

Save for the provisions mentioned above, we will not be liable or responsible for any failure to perform or delay in the performance of our obligations caused by an event outside of our control. This does not affect your statutory rights

 

International Travelers:

Guests traveling from outside the UK are legally required to provide the number and place of issue of their passport/identity card and details of their next destination.

The information may be requested for each member of your party over the age of 16, and we reserve the right to refuse entry to individuals who cannot provide the requested information.

The lead guest must be at least 18 years old and must be present at the time of check-in.

 

Maximum Occupancy Rules:

Rooms are subject to maximum occupancy rules set by the Hotel. For specific details, please contact our Reservations.

 

Payment on Arrival:

If you have not paid for your room and any additional extras at the time of making your reservation, payment is required upon arrival.

 

Payment Methods:

We accept payment by cash (with proof of identification) or credit/debit card. Accepted cards include Visa, MasterCard, American Express, Diners Club, Maestro, and Electron.

Your debit/credit card’s expiry date must extend beyond the end of your stay.

We do not accept personal checks or family discount cards.

 

Outstanding Charges:

All outstanding charges must be settled in full during check-out from the Hotel.

If the outstanding charges do not exceed the authorization taken during check-in, the unutilized amount will be released. However, the timing of this release is subject to your bank’s processing.

 

Multiple Nights Stay:

For guests staying multiple nights at the Hotel, we may require more frequent payments for outstanding charges during your stay.

 

Pricing

Our packages and pricing are diverse and may vary based on availability and demand at any given time.

All prices are subject to change without prior notice and are inclusive of VAT at the prevailing rate.

Your price is confirmed upon receipt of a confirmation number.

 

Meals and Extras:

Room prices do not include meals or additional extras. All meals and drinks must be settled at the time of ordering at the bar/restaurant.

 

Availability

Subject to Availability:

All rooms and rates offered are subject to availability and the discretion of the Hotel Manager.

 

Special Offers and Packages:

For special offers and packages, a limited number of suitable rooms may be allocated to individual rates, packages, or promotions.

When these allocations are fully booked, any remaining available rooms may be offered to guests at a higher price.

 

Group Reservations

For bookings of 5-9 rooms, please call our hotel reception on 01278760208. Lines are open Monday – Friday 9 am – 5 pm. Calls are charged at the national rate.

To make a booking of 10 rooms or more, please email our events team on events@thegrangebrentknoll.co.uk.

The prices shown online are for bookings of up to 4 rooms. Room rates may be different for group bookings (10 rooms or more) depending on the number of rooms booked.

 

Liability

Guests’ liability for their account is not waived, and guests agree to be held personally liable in the event that any indicated person, group, company, or association fails to pay all or part of any charges incurred.

Other than for death or personal injury caused by the negligence of the Hotel, the Hotel’s liability to the Guest is limited to the price of the booking. Unless the Hotel is liable under the above clause, the Guest indemnifies the Hotel from and against any and all liability and any claims, proceedings or damages resulting or arising from the booking, event, or function, the Guest, guests or any outside contractors of the Guest. Guests are responsible for any damage caused to the allocated rooms, furnishings, utensils, and equipment in them by any act, omission, default, or neglect of the Guest and will pay to the Hotel on demand the amount required to make good or remedy any such damage.

 

Damage to Hotel Property

We reserve the right to charge guests the cost of rectifying damage, especially that caused by the deliberate, negligent, or reckless act of the guest to the hotel’s property or structure. Should this damage come to light after the guest has departed, we reserve the right to make a charge to the guest’s credit/debit card, or send an invoice for the amount to the registered address. We will, however, make every effort to rectify any damage internally prior to contracting specialists to make the repairs, and therefore will make every effort to keep any costs that the guest would incur to a minimum.

 

Smoking Policy

It is an offence to smoke in any area of the Hotel including in hotel bedrooms. The Grange Hotel operates a No Smoking Policy, including e-cigarettes and vaporisers throughout all public areas along with all bedrooms. This policy enables us not only to meet legal requirements but also to create a comfortable environment for all guests to enjoy. Should we believe that guests have been smoking in bedrooms or any other part of the hotel, a Smoking Fine of £150 will be charged for deep cleaning. In addition, should the fire alarm system be activated due to the use of any smoking materials, e-cigarettes, or vaporisers, additional charges may be applicable for the disruption to other hotel guests and/or any other expense levied to the hotel by any third party as a direct result of the fire alarm system activation.

 

Removal of Hotel Property

We reserve the right to charge guests the cost of replacing any items that are removed from the premises by them without consent. The charge will be the full replacement amount of the missing item, including any carriage charges. Should the fact that the item is missing come to light after the guest has departed, we reserve the right to make a charge to the guest’s credit/debit card or send an invoice for the amount to the registered address.

 

Tampering with Fire Detection Systems and Firefighting Equipment

We reserve the right to take action against any guest found to have tampered or interfered with any fire detection equipment throughout the hotel, including detector heads in public areas and bedrooms, break glass points, and fire extinguishers. Guests found to have tampered with any fire detection or firefighting equipment will be charged with any costs incurred by the hotel due to their actions and may be asked to leave the hotel. Depending on the severity of the guest’s actions, the Police may become involved at the hotel’s discretion. Should it come to light that firefighting or detection equipment had been tampered with after the guest has departed, we reserve the right to make a charge to the guest’s credit/debit card or send an invoice for the amount to the registered address.

 

Children

All children under 2 years are charged GBP 0.00 per child per night for cots/cribs. All older children are charged GBP 20 per night for extra beds. The maximum number of extra beds in a room is 1. The maximum number of children’s cots/cribs in a room is 2. Any type of extra bed or child’s cot/crib is upon request direct with the hotel and needs to be confirmed by management. For online bookings, supplements are not calculated automatically in the total costs and will have to be paid for separately during your stay.

 

Inappropriate Behaviour

It is the hotel’s policy that all our guests have the right to be treated with dignity and respect. As a responsible host, we believe that we have a duty to our guests to protect them from inappropriate behaviour. The Hotel may terminate the booking or stop any event immediately without being liable for any refund or compensation. Should any actions by a guest be deemed inappropriate by the Duty Manager, or if any inappropriate behaviour is brought to the attention of the Duty Manager, the hotel reserves the right, after any allegations have been investigated, to take action against the guest. Depending on the severity of the guest’s actions, the Police may become involved at the hotel’s discretion, or guests may be asked to leave the hotel.

 

Discrimination

It is the policy of the Hotel not to discriminate on the grounds of race, colour, nationality, creed, sex, marital status, age, ethnic origin, or disability. Guests, their employees, and all subcontractors engaged by or on behalf of Guests are expected to adhere to this policy. The Hotel may, without incurring any liability, remove from the Hotel any person or persons offending against this policy.

 

External Purchases

No wines, spirits, beers, or food may be brought into the Hotel or Hotel grounds by Guests for consumption or sale on the premises without the express written consent of the Hotel, for which a charge may be made by the Hotel.

 

Complaints and Comments

Any comment or complaint regarding a stay at the Hotel should be made to the General Manager or Duty Manager at the time of the visit so that the matter can be resolved immediately.

 

Pets

We have several pet-friendly rooms available – pet friendly rooms are subject to a £20 supplement per room, to be paid on arrival/checking in. A maximum of 2 dogs are allowed per room. The hotel reserves the right to refuse entry to any pet that is deemed too large or displays aggressive behaviour, ensuring a safe and comfortable environment for all guests.

Please make sure you let the hotel know of any pets you wish to bring. A maximum of 2 pets per room is allowed. Pets are not allowed to stay in the beds. If there is evidence of pets staying in beds, we will enforce a penalty of £150 for extra cleaning.

 

Vehicles

All vehicles are parked at the owners’ risk. Should a problem occur with a vehicle in the hotel car park, the hotel cannot accept any liability. All cars are parked at the owner’s risk, and The Hotel does not accept responsibility for damage to, or for theft from, or for theft of vehicles parked on Hotel premises. If a vehicle is left in the hotel car park for more than 8 hours after the guest has departed without the written consent of the hotel, the hotel reserves the right to remove the vehicle at the owner’s expense. Nothing in these terms or conditions shall limit or restrict the guests’ legal rights as a consumer.

 

Statutory Requirements

The Hotel is subject to statutory controls, including those relating to fire, licensing, entertainment, health, hygiene, and safety. These must be strictly observed by Guests.

 

Insurance

The Guest is recommended to have and is responsible for insurance to cover cancellation, curtailment, and loss of baggage, personal effects, and money.

 

Internet Facilities

Internet facilities (WiFi) are provided by third-party providers. The Guest acknowledges that there may be disruption to the connection without prior notice, and the Hotel shall not be liable whatsoever for such disruption. The Guest further undertakes not to use the facility for any fraudulent purpose or in connection with any criminal offense or in contravention of any license and will indemnify The Drivers Room LTD Trading As The Grange Hotel Brent Knoll against any claim, demand, suit, or prosecution arising therefrom.

 

Accuracy of Website Information

The Drivers Room LTD Trading As The Grange Hotel Brent Knoll cannot accept responsibility for any errors or omissions and reserve the right to cancel, amend, or vary the information featured on the website without notice.

 

Dispute

These terms will be construed in accordance with English law, and the Hotel and Guest submit to the non-exclusive jurisdiction of the English Courts.
